eBay Item Specifics: Why They Matter and How to Fill Them

Item specifics are the structured details eBay uses to match listings to searches and filters. The four levels, the limits, how to choose values, a worked example and how to fill them at scale.

On eBay, the title gets the click but item specifics get you found. They are the structured details, such as brand, size, color, material and model, that eBay uses to match listings to what buyers search for and to the filters buyers tick down the left side of the results. A listing without them can be invisible to a buyer who filters by brand, even if the brand is in the title.

This guide explains the levels eBay uses, the limits to know, how to choose good values and how to fill them across hundreds of listings without doing it by hand.

In short: fill every required and recommended item specific for your category, use eBay's suggested values instead of inventing your own, keep identifiers like brand and MPN accurate, and fix the gaps in bulk from your catalog rather than one listing at a time.

What Item Specifics Are

Item specifics are name and value pairs attached to a listing: Brand: Acme, Color: Black, Connectivity: USB-C. eBay defines which names each category expects and often offers a list of values for them. They are separate from the title and the description, and they serve a different reader: eBay's search and filtering, as much as the buyer.

The Four Levels eBay Uses

eBay's Seller Center sorts item specifics for each category into levels:

eBay adds required item specifics over time and they vary by category, so the list for your category is the reference, not a list you saved last year.

Why They Matter

  • Search and filters. Buyers narrow results with filters built from item specifics. If your listing has no value for Brand, it drops out the moment a buyer filters by brand.
  • Required means required. eBay asks for every required item specific on any new or revised listing, so a gap can stop you from revising an older listing until it is filled.
  • Fewer questions. eBay notes that additional details can save you from answering questions about your item, and help you make a sale.
  • Consistency with your catalog. Accurate specifics (brand, MPN, model) help eBay match your listing to the right product and keep variations straight.

Limits Worth Knowing

eBay's developer documentation sets limits that also apply to listings created by tools:

  • A listing can carry up to 45 item specifics.
  • An item specific value is limited to 65 characters as standard, with longer limits for a few specific fields; the California Prop 65 warning, for example, can be up to 800 characters.
  • eBay titles are limited to 80 characters, which is one more reason to put detail in specifics rather than cramming it into the title.

When a product has no product identifier, such as an unbranded or custom made item, eBay accepts substitute text instead of a barcode. On eBay's US, UK, Canada, Australia and Ireland sites that text is Does not apply. Use it only when it is true: putting it in place of a real identifier hurts how the listing is matched and found.

How to Choose Good Values

  1. Use eBay's suggested values where the field offers a list. A custom spelling ("Blk", "black/grey") may not match the filter buyers use.
  2. Be exact with identifiers. Brand as the brand writes it, MPN exactly as printed, model numbers rather than marketing names.
  3. One value per meaning. Do not stuff several colors into Color unless the item really is multicolored and the field allows several values.
  4. Use the units eBay expects for sizes, capacities and dimensions, and keep them consistent across your listings.
  5. Do not repeat the title. Specifics are for facts, not keywords; eBay's filters reward accurate values, not long ones.
  6. Variations carry their own values. In a multi-variation listing, Size and Color belong to each variation, not to the listing as a whole.

A Worked Example: A Desk Lamp

What a well filled listing might carry in a lighting category. Your category's list in the listing form is the reference; this shows the idea:

A listing with only Brand and Type would still be live, but every buyer who filters by color, bulb type or feature would never see it.

How to Fill Them: Step by Step

For One Listing

  1. Open the listing in the listing form and look at the item specifics section.
  2. Fill every field marked required, then recommended. Missing required fields are highlighted.
  3. Choose values from eBay's list wherever one is offered.
  4. Save and check the listing in search with a filter applied, to confirm it appears.

For Many Listings

  1. Export your active listings with their current item specifics, or pull them from your listing tool.
  2. Get the expected list per category. eBay shows it in the listing form, and its Taxonomy API returns the aspects each category expects, including which are required and which values are allowed.
  3. Find the gaps per listing: required missing, recommended missing, values that do not match eBay's suggested list.
  4. Fill from your catalog first. Most of the answers (brand, MPN, color, material, dimensions) already exist in your product data or on your other channels.
  5. Upload the changes in bulk through Seller Hub or your listing tool, a batch at a time.
  6. Recheck the listings that failed and fix their values.

Item Specifics, Title and Description

Each part of a listing has a job, and item specifics work best when the other parts do theirs:

A fact in the title but not in the specifics can be missed by filters. A fact in the specifics but not in the title can still be found through filters. The strongest listings carry the key facts in both, and the rest only in the specifics.

Variations Need Their Own Values

In a multi-variation listing, the facts that differ between variations (size, color, capacity) are set on each variation, while the facts they share (brand, material, type) are set once for the listing. Two rules prevent most problems:

  1. Do not repeat a variation fact at listing level. If Color is a variation, do not also set a single Color for the whole listing.
  2. Use the same value set everywhere. If one variation says Grey and another says Gray, buyers filtering by one will miss the other.

Common Mistakes

  • Keyword stuffing. Values like "Black Gift Present Christmas Lamp" do not match any filter and look like spam.
  • Custom values where eBay offers a list. "Blk" or "Jet black" may not match the Black filter.
  • Does not apply used to save time. If the item has a brand or MPN, use it.
  • Copying another seller's specifics. If their values are wrong, yours become wrong too.
  • Filling once and never again. eBay adds and changes required and recommended item specifics, so last year's complete listing may be incomplete today.

Keep Specifics Consistent Across Channels

If you also sell on Amazon or Shopify, you already hold much of this data under other names: Amazon's brand and color attributes, Shopify's vendor and variant options. Map them once:

Then a fact corrected once is correct everywhere, and a value missing on eBay can come from a channel that already has it. Inconsistent facts across channels are also a common cause of problems on Amazon; see Amazon listing suppression.

Item Specifics Audit Checklist

  • Every active listing has all required item specifics for its current category.
  • Required soon fields are filled before their dates.
  • Recommended item specifics are filled wherever they apply.
  • Values use eBay's suggested options where offered.
  • Brand, MPN and barcodes are accurate, and Does not apply is used only when true.
  • Variation values (size, color) are set per variation.
  • The same facts match your Amazon and Shopify listings.
  • The audit repeats every quarter, because eBay's category requirements change.
